Collaborate proactively with the legal and finance departments to ensure that all sponsorship agreements, contracts, and financial obligations are fully compliant, accurately documented, and successfully executed throughout the sponsorship lifecycle.


Detailed Breakdown:

1. Initial Coordination with Legal and Finance Teams:

  • Legal Department:
    • Engage early with the legal team to review draft sponsorship agreements before presenting them to potential sponsors.
    • Ensure that legal clauses such as liability, intellectual property, branding rights, data protection, termination, dispute resolution, and indemnity are correctly included.
    • Align on legal standards and policies for sponsorship partnerships, particularly when it comes to cross-border sponsorships, exclusivity terms, or industry-specific compliance.
  • Finance Department:
    • Coordinate with finance to establish acceptable payment structures, invoicing timelines, and budget codes for incoming sponsorship funds.
    • Understand and communicate any financial reporting or auditing requirements that may apply to sponsorship income.

2. Contract Review and Approval Process:

  • Submit draft contracts to legal for review and incorporate all required edits and legal recommendations.
  • Facilitate a clear workflow for contract review, revision, and approval, minimizing delays and ensuring timely execution.
  • Maintain a shared contract repository for version control and recordkeeping.

3. Ensuring Legal Compliance:

  • Verify that all signed contracts adhere to SayPro’s legal standards and local regulatory requirements.
  • Track and enforce compliance with contract terms, including brand usage rights, sponsorship benefits delivery, and exclusivity clauses.
  • Immediately flag any deviations, disputes, or risks to the legal team for resolution.

4. Ensuring Financial Accuracy:

  • Collaborate with finance to:
    • Issue accurate and timely invoices to sponsors as per agreed terms.
    • Monitor the status of payments and follow up on outstanding amounts.
    • Allocate sponsorship funds to the correct project codes and ensure proper documentation for audit trails.
  • Ensure all incoming funds are reconciled and properly reflected in SayPro’s financial reports.

5. Ongoing Monitoring and Reporting:

  • Create a joint tracking system (e.g., shared spreadsheet or CRM) to monitor:
    • Contract statuses (signed, in review, expired)
    • Deliverables and obligations (branding, activations, reporting)
    • Financial receipts and outstanding payments
  • Schedule monthly reviews with legal and finance to:
    • Address emerging issues
    • Reconcile records
    • Ensure ongoing compliance

6. Problem Resolution:

  • Serve as a liaison between sponsors and SayPro’s legal/finance departments in case of contract disputes, payment delays, or compliance concerns.
  • Escalate legal or financial issues promptly and facilitate resolution in a professional and timely manner.

7. Documentation and Recordkeeping:

  • Ensure that copies of all signed contracts, invoices, correspondence, and receipts are stored in an accessible, secure system.
  • Maintain a log of all key contractual dates (e.g., payment due dates, renewal periods, activation deadlines).

Success Criteria:

  • 100% of contracts legally reviewed and approved before signing.
  • 100% of financial transactions tracked, invoiced, and reconciled according to SayPro’s accounting standards.
  • No legal or financial compliance issues arise during or after sponsorship execution.
  • Positive feedback from legal and finance teams on communication, accuracy, and efficiency of collaboration.
