1. Purpose of Agreement
This contract establishes the terms under which SayPro will organize, coordinate, and manage an educational travel program (“the Trip”) for the Client’s students and staff, scheduled for [Trip Dates], to [Destination(s)].
2. Scope of Services
SayPro agrees to provide the following services:
- Detailed trip planning including transportation, accommodation, meals, and activities.
- Preparation and delivery of comprehensive trip documentation (itinerary, emergency contacts, travel insurance info).
- Coordination of travel logistics such as flights, transfers, and ground transportation.
- Organization of educational activities and cultural experiences aligned with Client’s academic objectives.
- Provision of 24/7 support during the trip.
- Implementation of safety protocols and travel insurance coverage for all participants.
- Collection of post-trip feedback to assess satisfaction and areas for improvement.
3. Responsibilities of SayPro
SayPro shall:
- Provide timely communication and updates regarding trip planning and changes.
- Ensure bookings and reservations are confirmed and managed professionally.
- Maintain appropriate insurance coverage for trip participants.
- Assign qualified staff to accompany and support the group during travel.
- Address emergencies promptly and maintain contact with Client representatives.
- Deliver the agreed-upon services in accordance with industry standards and best practices.
4. Responsibilities of Client
The Client shall:
- Provide SayPro with accurate and timely information regarding participant numbers, special needs, and trip objectives.
- Review and approve all trip documentation and itineraries within agreed deadlines.
- Ensure participants comply with SayPro’s guidelines, including conduct codes and safety instructions.
- Collect and distribute necessary travel documents (passports, visas) and medical forms.
- Make payments in accordance with the agreed schedule outlined in Section 6.
- Designate one or more responsible staff members to liaise with SayPro before and during the trip.
5. Participant Eligibility and Conduct
- The Client is responsible for ensuring all participants meet eligibility requirements for travel and activities.
- Participants must adhere to rules and codes of conduct set by SayPro and host venues.
- SayPro reserves the right to remove or restrict participants from activities for behavior that jeopardizes safety or trip integrity; the Client will be notified immediately in such cases.
6. Payment Terms
- Total cost of the trip per participant: $[Amount].
- Payment schedule:

- Second installment of $[Amount] due by [Date].

7. Cancellation and Refund Policy
- Client cancellations must be submitted in writing.
- Refunds are subject to the following schedule:
- Full refund minus administrative fees if canceled more than 60 days before departure.
- 50% refund if canceled between 30-59 days before departure.
- No refund if canceled less than 30 days before departure, except where required by law.
- SayPro reserves the right to cancel the trip due to unforeseen circumstances (e.g., natural disasters, political instability), with full refunds or rescheduling options provided.
8. Liability and Insurance
- SayPro maintains group travel insurance covering medical emergencies and trip interruptions.
- The Client agrees that SayPro is not liable for injuries, loss, or damages arising from circumstances beyond SayPro’s reasonable control, including but not limited to acts of God, war, or government actions.
- The Client is responsible for ensuring participants have appropriate personal health insurance and meet all travel health requirements.
9. Confidentiality
- Both parties agree to keep confidential any sensitive information exchanged during the planning and execution of the trip.
- No party shall disclose proprietary or personal data without prior consent.
10. Dispute Resolution
- Any disputes arising under this contract will be addressed through negotiation and mediation.
- If unresolved, disputes will be subject to jurisdiction in [Relevant Jurisdiction].
11. Amendments
- Any modifications to this contract must be made in writing and signed by both parties.
